The short answer
You switch car wash POS systems without losing members by moving your members' stored payment information, called payment tokens, from your old system to the new one, so members never have to re-enter a card. You also need a plan for how each member's vehicle is recognized at the lane, and a clear timeline for the cutover. We handle all of this for you, and we're proud to say that RollerUp's token migration success rate is 99.3%.
Why do operators worry about switching POS systems?
Memberships are the recurring revenue behind your business, and they are built over years. The fear is reasonable: a rough migration can mean members who are not recognized at the lane, billing that stops or doubles up, or a request for members to re-enter their card details. Any one of those is a reason for a member to cancel.
The good news is that a well-planned switch avoids all three. The key is understanding what actually has to move.
What is a token migration?
When a member signs up, their card is not stored as a card number in your POS. It is stored as a secure payment token held with a payment processor. A token migration moves those tokens to the new system so recurring billing continues without asking members to start over. The success rate of this step, meaning the share of tokens that move over cleanly, is the number to ask any provider about. RollerUp's is 99.3%.
What should I plan before I switch?
List what you have. Count your members by plan and site, and note any special pricing or legacy plans.
Map your plans. Match each existing plan to its equivalent in the new system, so members land on the right benefits.
Decide how members will be recognized. This depends on your current setup (see the RFID question below).
Confirm your equipment. Check that the new POS connects to your tunnel controller before you commit to a date. RollerUp does connect to tunnel controllers, or has hardware to do so.
Plan the cutover. Agree on the timeline, who is on site, and how you will handle members the migration does not catch.
Tell your members. A short note about what is changing and what is staying the same prevents most questions at the lane. Good news, most members don’t even notice the change to RollerUp, they just notice a better experience!
Watch the first weeks. Track billing, recognition, and cancellations closely after go-live.
I use RFID today. Can I still switch to RollerUp?
Yes. RollerUp uses license plate readers (LPR) and does not support RFID. If your members are on RFID, you move them by associating each member's license plate with their existing membership, so they keep their plan and benefits without a new tag or a new sign-up. We already have a seamless system to do this for you during migration.
Will RollerUp work with my tunnel controller?
RollerUp has direct integrations with many tunnel controllers. For equipment it does not integrate with directly, it offers a custom hardware solution that should work with any controller. RollerUp does not make its own tunnel controller, so you keep the equipment you already trust. Confirm your specific controller with the team before you plan a date.
What does switching require from my team?
Most of the work is planning and data: your member list, your plan structure, and your equipment details. If you want to connect RollerUp to other software through its API, that does require IT resources on your side.
Frequently asked questions
Will my members have to re-enter their credit card when I switch POS systems? The purpose of a token migration is to avoid that. RollerUp's token migration success rate is 99.3%.
How long does it take to switch car wash POS systems? We can install hardware in a day and train your team in a matter of hours. After the initial set up, it can take as little as an hour to set up a site.
What happens to my members' recurring billing during the switch? Billing continues on the new system once tokens are migrated. Plan the cutover date with your provider so there are no gaps or double charges.
Can I switch if my members use RFID tags? Yes. RollerUp uses license plate recognition, and members on RFID are moved by associating their plates with their existing memberships.
Do I have to replace my tunnel controller? No. RollerUp integrates directly with many tunnel controllers and offers a custom hardware solution that should work with any controller.
What if I operate more than one location? RollerUp was built to manage multi-site operations. Once we set you up at one location, it's typically very quick and easy to set up the remaining sites.
